Who we are

EOTS Events Ltd (“EOTS”, “we”, “us”) is the controller of personal data collected through eotsevents.co.uk. We are registered in England and Wales, company number 10768631. Registered office: C/O In The Loop Accounts Ltd, Formal House, 60 St. Georges Place, Cheltenham, GL50 3PN.

What we collect and why

Enquiries. When you use our contact form or email us, we collect the details you give us: usually your name, email address, organisation, event details and message. We use them to reply to you and, if you ask us to, to prepare a proposal or quote. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.

Website analytics. If you accept analytics cookies, we use Google Analytics to understand how visitors use the site, such as which pages are viewed and roughly where visitors come from. This helps us improve the site. Our lawful basis is your consent, which you can withdraw at any time. If you decline, no analytics cookies are set.

Technical data. Our hosting provider automatically records basic technical information (such as IP address and browser type) in server logs to keep the site secure and working. Our lawful basis is our legitimate interest in running a secure website.

Cookies

We only use cookies that are strictly necessary for the site to work, plus Google Analytics cookies if you agree to them through our cookie banner. You can change your choice at any time using the “Cookie settings” link at the bottom of any page, or by clearing cookies in your browser.

Who we share it with

We do not sell your personal data. We only share it with service providers who help us run the business and website, under contract and only for that purpose:

  • IONOS: website hosting
  • Google: email (Google Workspace) and, with your consent, Google Analytics

Some of these providers may process data outside the UK. Where they do, we rely on the safeguards recognised under UK data protection law, such as the UK adequacy regulations or the International Data Transfer Addendum.

How long we keep it

We keep enquiry emails for up to two years after our last contact, unless you become a client, in which case we keep records for as long as needed for the work and our legal and accounting obligations (normally six years). Google Analytics data is kept for 14 months.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you
  • ask us to correct or delete it
  • object to, or ask us to restrict, how we use it
  • withdraw consent at any time, where we rely on consent
  • ask us to transfer it to another organisation, where applicable

Complaints

If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Changes

We may update this notice from time to time. The date at the top shows when it was last changed.
